How to Use MKG's Search Functions

Get the correct data on your screen quickly. Being able to search easily and get relevant search results helps you work more efficiently. In MKG you can search in different ways. This article explains the search bar, module homepage search, and Advanced Search in more detail.

 


Operation of MKG

The Search Bar

At the top right of MKG you will find the search bar. This search bar is always visible and can be used from any screen in MKG, regardless of whether you are working from the MKG Homepage or are already working in a module. By entering a search term here, you instruct MKG to search throughout the entire program for matching data, for example a drawing number, part of a description, an item code, a debtor. It is therefore comparable to the Google function.

You have the option to determine the search settings yourself via the cogwheel in the search bar. When used for the first time or without modification, the preset search values determined by MKG apply. These can therefore be adjusted. This is also recommended; After all, different functions require different search results.


Search bar settings


  • By entering the name of a module in the Search for field, you can add this module to the list of 'Documents' being searched. Click on the name of the module and click on the plus icon, after which the module will be added.
  • The list of Documents shows the modules in which MKG will retrieve the entered search term. By clicking on a document and then clicking on the ‘trash can’ clicking, the module in question will not be included in the search results.
  • Use the Sequence field to arrange the selected modules. For example: what is frequently searched for is at the top, what is less searched for is at the bottom.
  • The assignment of fields in the Search for field enables a targeted search for the search term. Select the correct fields available in this module here. If these are not immediately visible in the list, the name of the field can be typed to display it and add it to the search settings.
  • You have the option to sort the search results found, for example from old to new (date) or from high to low (number). Enter in this field which field should be ranked. The Sort order field then determines what is shown at the top of the list of search results.
  • Under Description you can set how the search results are displayed, as a kind of summary.
  • The Number of Results per module can determine whether you successfully find what you are looking for. After all, the more search results become visible that match the entered search term, the greater the chance that what is searched for will also be found. Make a conscious choice of the number of search results so as not to unnecessarily burden the system and thus slow it down.
  • An information form may also be available. This can also be selected if desired, but has no influence on the search results.

 

Search for MKG modules
The search bar can also be used to search for modules. This can be useful if you need a module that you don't have on your homepage and you don't want to ‘get lost’ in the main menu.

 

 

Searching on the Module Homepage

Each process module in MKG has its own homepage, recognizable by the icon of a house in the navigation bar. It is also possible to search here. However, now only the opened module is searched. This can be done by entering a search term in the search field, for example order number, reference or debtor name.

Via the 'Options' - see at the bottom of the search list - you can choose to search only for current data (= active) or for all data. Clicking the options opens a new window in which the settings can be adjusted.

  • In the Search for field you can select fields in which the specified search term should appear. Clicking in the white area opens the list of other fields that are also available to expand the search area. The condition ‘Contains’ returns the most search results, because otherwise the search term must match exactly.
  • With Sort by you choose how the search results will be arranged, in combination with the order. By increasing the number of results you extend the list of search results, which increases the chance that what you are looking for will be found.
  • By choosing an MKG field for Description, most information is often shown in the search results list. If this field does not show the correct information or needs to be adjusted, you can do this by collecting the necessary data yourself with a formula.

The other fields offer additional options, but have no influence on the search results and are therefore not explained in further detail.

 

Advanced Search

With the 'Advanced Search' function you have the option to specify a more specific search using filters. The function can be found in two places in MKG: on the module homepage and in the module itself.

 

On the module homepage

Refreshing the page loads all items in the list, regardless of status. For example, by applying a filter to 'Historical' you make a selection on, for example, only the current sales orders. Once the sales order you are looking for has been found, the line in the list can be marked via the arrow. With a double-click or via the Select button you open the order and the associated lines also become visible.

If a filter has been applied, for example on debtor, a desired order can also be opened by choosing Apply search result. The list of filtered search data then remains visible when the module is opened and can then be used further from the module itself.

 

Please note!
This type of extensive search only searches for data that appears in the header of the module. To search for detailed information from the line, you can use the associated dashboard (see the bottom of this article).

 

In the module

If the module is already in use, you can select the Advanced Search button at the top right. An extension of the screen will then open on the left. By scrolling through the list with your arrow keys or clicking on the items, the relevant order will be shown in the screen on the right. Now that the search screen has been opened, a search filter can also be applied from here.

 

Detailed information from the lines

The Advanced Search within a module provides the option to search for the data from the header of the relevant module; the data contained in the line is not included. However, the line usually contains important detailed information, such as item no. and description. An associated dashboard can also be used to search for this detailed information.

The sales dashboard, for example, contains 5 tabs where information can be looked up: 'Quotes', 'Orders', 'Packing Slips', 'Invoices' and 'Lot Changes'. If you open the 'Orders' tab, you can then choose between ‘Orders’ (header) or ‘Order Lines’. Select the order lines to retrieve the detailed information. Apply - if desired - a filter to get the best possible search result.
