An Example: Classifying Debtors into Categories
In the Debtors table you can use an extra field to categorize your customers. An A customer is an important customer with good turnover who is given priority, a B customer is a good customer but does not have a priority position in, for example, planning, a C customer is a mediocre customer in terms of turnover and does not enjoy any privileges. Do the following to create a selection list on an extra field:
- Click with your mouse in the empty field behind what is now called Extra Field 1.
- Use the keyboard shortcut Ctrl+F11 to open the editing screen.
- In the Label field, adjust the name of the field, for example in "Category".
- In the List of Possible Values, enter the previously mentioned options A-B-C customers (the options are filled in twice, with only a comma as a separator).
- Exit the module and reopen it for the change to take effect.
How to immediately apply the newly personalized extra field with the A-B-C customer classification:
- Open the Debtors table and select any debtor.
- Click on Advanced Search to open the list of all debtors.
- Refresh the list or use F5.
- Using the Field Selector, add the Category field to the existing, visible columns. How to use the Field Selector, you can read here.
The 'Change' function
If no customer is linked to a category, this can be changed via the ‘Change’ function. Right-click in the header of the column to be changed - in this example it is "Category" - and select the ‘Change’ option. In the 'Change Field' screen, choose what needs to be changed: all lines shown on the screen, or just the current line. Choose which category applies to the selection just chosen (all or current line). With the choice 'All Lines' and 'A customer', all customers are classified as A customers, without having to open and change them one by one. You can optionally use a specific filter to sort the search results more precisely.
The ‘Change’ functionality is also available in other modules where the Advanced Search can be applied. For example, if item data has changed, for example from active to inactive, from inventory item to no inventory item, then with the correct selection of items as a search result, this can be adjusted directly by the user without the intervention of an import.
